The Data and Outreach Specialist (DOS) has primary responsibility for managing and building the Office of Communication's audience data - using its existing email marketing automation tool - and ensuring the accuracy, reliability, and completeness of that data. The DOS is a key player in efforts to expand audience reach and engagement on all platforms, deepen understanding of our constituents, and build robust relationships.

Working with various teams in the Office of Communications, the DOS helps to plan outreach campaigns; builds, uploads, cleans and maintains audience data; and, sends out frequent communications to targeted audiences. He/she also analyzes constituent behavior, prepares and circulates dashboards and reports, and makes recommendations for improving communications strategy and tactics.

The DOS proactively contributes to the outreach strategies by identifying new opportunities for audience engagement and collaborates closely with Office of Communications colleagues to seize those opportunities.

The DOS is also responsible for creating, testing, and deploying email marketing campaigns in MailChimp and must have a good eye for editorial and aesthetic details. He/she must have a keen interest in keeping abreast of the latest tools and approaches in the fields of data management and audience engagement.

The DOS is part of the Public Engagement team in the Office of Communications, reports to the Director of Public Engagement and Outreach, and works closely with other teams, including, Digital Content and Editorial, and Art and (...)



  • Data Analytics and List Management
  • Ensures high level of data quality, integrity, availability, completeness, consistency, and privacy
  • Cleans existing data (merge duplicates, fill in missing information, update old information, etc.)
  • Analyses, documents, and converts/migrates external data sources to populate the email marketing automation tool
  • Uploads new lists into the system and creates queries to build marketing/communication lists
  • Segments lists based on behaviors such as website interactions and email engagement
  • Advises on audience segmentation and campaign planning
  • Integrates and maintains social media data along with other data
  • Ensures that the collection of email data complies with all relevant privacy laws and the foundation data-use policies
  • Coordinates with the foundation's regional offices to ensure accuracy of email lists
  • Develops and implements double opt-in strategy to improve data quality and compliance with Can-Spam laws
  • Prepares and circulates analytical reports based on constituent behavior
  • Tracks, measures, and analyzes performance of e-mail campaigns, identifies trends and suggests optimization strategies; extracts high-level insights to communicate and inform stakeholders
  • E-mail Campaign Management
  • Partners with the content team to effectively manage e-mail campaign calendar
  • Partners with the design team to put e-mail campaigns into layout
  • Assists in coding of the e-mail campaign templates to make them responsive on all devices
  • Supports and expands constituent outreach activities and proactively suggests and pursues new opportunities for more effective outreach
  • Coordinates with the editorial team to perform multivariate testing on e-mail campaigns to optimize engagement with target audiences
  • Evaluates email campaign effectiveness; utilizes best practices to achieve email campaign goals and objectives
  • Partners with Editorial team to develop innovative solutions to improve open and click rates
  • Works closely with the Editorial and the Digital teams to optimize acquisition of subscribers
  • Liaises with all necessary departments (IT, Legal, HR) as necessary to fulfill responsibilities 


  • (...) or (...) in Computer Science, MIS, Engineering or related field and a marketing sensibility, or an equivalent combination of education and experience
  • Two to four years of experience with one or more email marketing automation tools and other data repositories
  • Three to five years of experience in mining data to garner meaningful and actionable insights
  • Expertise in managing large quantities of data and writing SQL on various databases
  • Experience with email marketing strategies and tactics
  • Extensive knowledge of social media and how social data can be captured and integrated with other constituent data
  • Excellent communication and presentation skills and attention to detail
  • Team player who can collaborate effectively and is flexible, proactive and forward thinking
  • Able to work in a fast-paced environment, to self-direct and show initiative
  • Passion for data quality, analysis, and creating insightful visualizations
  • Strong customer-service attitude
  • Willingness to take advantage of opportunities to expand impact of the role
  • Strong working knowledge of MS Office, especially Excel and PowerPoint
  • Working knowledge of HTML, CSS, Adobe Photoshop and familiarity with responsive design 


  • Working knowledge of MailChimp
  • Experience with Tableau
  • Knowledge of privacy, data protection, and "anti-spamming" regulations and laws
